Terms and Conditions

These Terms and Conditions (“Terms”) govern your booking and use of self-guided trekking itineraries sold by Transcaucasian Trail Tours (“we,” “us,” or “our”) through tours.transcaucasiantrail.org (the “Site”), as part of the Transcaucasian Trail’s Reconomy project. By booking a trek or using the Site, you agree to these Terms.

1. What You Are Booking

We sell access to self-guided trekking itineraries in Armenia, Azerbaijan, and Georgia. Unless an itinerary specifically states otherwise, your booking does not include a guide who accompanies you on the trail. Instead, your booking provides:

  • Day-by-day route notes and directions
  • GPS track files for the route
  • Pre-trip planning support and a trip briefing from our team
  • Safety notes for each day of the itinerary
  • Accommodation booking (with dinner and breakfast)
  • Booking of local services if requested (transportation, local guide, catering)

Any local guesthouses, meals, transport, or optional local guides referenced in your itinerary are arranged and paid for separately, as described below.

2. Bookings, Group Size, and Price

The price shown for each itinerary depends on the number of travelers in your group, as shown on that trip’s page. When you book, you confirm the exact number and names of everyone in your travelling party.

Group size is fixed at the number of named travelers confirmed at booking, up to the maximum shown for that itinerary. If your group grows before departure, please contact us before you travel — we will either invoice you for the additional traveler(s) at the applicable rate or, where mandatory local services (such as guesthouse space) cannot accommodate unbooked extra travelers, we may decline to arrange those services for anyone not confirmed on the booking.

If you need to book a larger group than the maximum shown for an itinerary, contact us at [email protected] and we will arrange multiple linked bookings for your party.

3. Payment

Full payment for your itinerary is due at the time of booking and is processed securely through our secure payment provider. Your booking is only confirmed once payment has been received.

Some costs are not included in your online payment and are instead mandatory or optional cash payments made directly to local guesthouses, drivers, or guides in local currency while you are on the trek (for example, village guesthouse stays and meals). These local costs, and which are mandatory versus optional, are listed on each itinerary’s page. We are not responsible for setting or collecting these local, cash-based payments.

4. Cancellations, Changes, and Refunds

  • Cancellations made 30 or more days before your trek start date: full refund of the online booking price, minus any payment processing fees
  • Cancellations made 14–29 days before your trek start date: 50% refund of the online booking price
  • Cancellations made less than 14 days before your trek start date, or no-shows: no refund
  • Date changes may be accommodated where possible if requested at least 14 days in advance, subject to availability

Refunds apply only to the amount paid to us online; any local cash costs are settled directly with local providers and are not covered by this policy. To cancel or change a booking, contact [email protected].

5. Self-Guided Trekking: Assumption of Risk

Our itineraries are self-guided. You and your travel companions will hike the route without a guide accompanying you (unless you have separately arranged a local guide), often in remote mountain terrain in Armenia, Azerbaijan, or Georgia with variable weather, difficult or exposed terrain, altitude, wildlife, and limited or no mobile network coverage or nearby medical facilities.

By booking, you confirm that:

  • You and everyone in your group are in suitable health and physical condition for the itinerary you have booked, and have reviewed the route notes and safety information provided
  • You are responsible for your own navigation, decision-making, and safety on the trail, including the decision to alter or abandon the route due to weather, health, or other conditions
  • You are responsible for arranging your own travel and medical/evacuation insurance appropriate for remote self-guided trekking — this is not included in your booking and is strongly recommended before you travel
  • You are responsible for obtaining any visas, permits (including border-zone permits, where applicable), and for complying with local laws in each country you visit

To the fullest extent permitted by law, Transcaucasian Trail Tours provides route information, planning support, and (where applicable) referrals to local guesthouses and guides, but is not liable for injury, illness, death, loss, delay, or damage arising from your trek, except where caused by our proven negligence or willful misconduct. Local guesthouses, drivers, and guides are independent providers, and we are not responsible for their acts or omissions.

6. Use of Itinerary Materials

Route notes, GPS track files, and other itinerary materials are licensed to you for personal use in undertaking your booked trek only. They may not be resold, published, or shared with people outside your booked travelling party without our written permission.

7. Changes to Itineraries

Trail conditions, local infrastructure, and regulations in Armenia, Azerbaijan, and Georgia can change. We will try to notify you of any material changes to route notes or safety information before your departure, but you should also check for updates shortly before you travel.

8. Changes to These Terms

We may update these Terms from time to time. The version posted on this page at the time of your booking applies to that booking.
