Transcaucasian Trail Tours (“we,” “us,” or “our”) operates tours.transcaucasiantrail.org (the “Site”), where we sell self-guided trekking itineraries in Armenia, Georgia, and Azerbaijan as part of the Transcaucasian Trail’s Reconomy project. This Privacy Policy explains what personal information we collect when you use the Site or book a trek with us, how we use it, and the choices you have.

Information We Collect

When you make a booking or contact us, we collect the information you provide directly, which may include:

  • Your name and the names of everyone traveling in your group
  • Email address and, if provided, phone number
  • Country of residence
  • Details of the itinerary, dates, and group size you book
  • Any messages you send us through the contact form or by email

We do not collect or store your payment card details. Payments are processed directly by our secure payment provider (see “Payment Processing” below).

Like most websites, our Site automatically logs some technical information when you visit, such as your IP address, browser type, and pages viewed, through standard website and security logs (see “Cookies” below).

How We Use Your Information

We use the information you provide to:

  • Process and confirm your booking, including the correct number of travelers and price
  • Communicate with you about your trek: booking confirmation, itinerary materials, GPS tracks, and pre-trip planning support
  • Respond to enquiries you send us
  • Maintain the security and proper functioning of the Site
  • Meet our legal, accounting, and reporting obligations

We do not sell your personal information, and we do not use it for advertising or marketing profiling.

Payment Processing

Bookings on the Site are paid through our secure online payment provider. When you pay, you are directed to that payment provider to complete the transaction, and they process and store your payment details under their own privacy policy. We only receive confirmation that payment was made and the order details (traveler names, itinerary, and amount) — we never see or store your card or bank information.

Separately, most of our itineraries also involve mandatory or optional local costs (such as guesthouse stays, meals, transport, or a local guide) that are paid in cash, in local currency, directly to guesthouse hosts, drivers, or guides while you are on the trek. These payments are not processed through the Site and are not collected by us.

Cookies

Our Site uses a small number of cookies that are necessary for it to function, including cookies set by:

  • Our website platform (for basic site functionality)
  • Our booking system (to remember your booking and cart selections as you check out)
  • Our website security tools (to help protect the Site from malicious activity)

At this time we do not use third-party analytics or advertising cookies (such as Google Analytics or Meta/Facebook Pixel). If that changes in the future, we will update this policy and, where required, ask for your consent.

Who We Share Your Information With

We share your information only as needed to deliver your trek and run our business:

  • Our payment provider — to process your payment
  • Local partners (guesthouses, drivers, and guides in Armenia, Georgia, and Azerbaijan) — limited to the traveler names and headcount needed to arrange your stay or service, where a local service is part of your itinerary
  • Our website hosting providers — who store the Site’s data on our behalf

We do not sell or rent your personal information to third parties.

International Data Handling

Because our treks take place across Armenia, Georgia, and Azerbaijan, and our Site and email providers may operate servers in other countries, your information may be processed or stored outside your home country. We take reasonable steps to keep your information secure wherever it is processed.

How Long We Keep Your Information

We keep booking and correspondence records for as long as needed to deliver your trek, respond to any follow-up questions, and meet our accounting and legal obligations, after which we delete or anonymize it.

Your Rights

Depending on where you live, you may have the right to ask us to access, correct, or delete the personal information we hold about you, or to object to certain uses of it. To make a request, contact us at [email protected] and we will respond as soon as we reasonably can.

Children’s Privacy

Our treks and this Site are intended for adults arranging their own travel. We do not knowingly collect personal information from children.

Changes to This Policy

We may update this Privacy Policy from time to time as our business, tools, or legal obligations change. We will post the updated version on this page with a new effective date.
